Job Description
The Mastercard Foundation Scholars Program at Arizona State University provides comprehensive scholarships and holistic support to young people from across the African continent who are committed to giving back to their communities. The Business Operations Manager will play a crucial role in supporting the Mastercard Foundation Scholarship Team by overseeing and optimizing financial and operational processes. This individual will manage the day-to-day operations of the Scholarship program, including budget management, vendor coordination, event logistics, and program administration. The ideal candidate will be detail-oriented, an excellent communicator, and able to balance multiple tasks and deadlines. The candidate will work closely with the Director and other team members at ASU to support the success of the Mastercard Foundation grants at ASU.

Essential Duties
Manage financial processes, including budgeting, forecasting, and expenditure tracking for the Mastercard Foundation Scholarship Program at ASU.
Work closely with the Global Academic Initiatives finance team to ensure accurate processing of payments, stipends, reimbursements, and supplier contracts.
Assist in financial reporting and audits to ensure compliance with ASU and Mastercard Foundation policies and procedures.
Facilitate the subawardee process between ASU and other university partners through ORSPA.
Prepare budget, monitor expenditures in accordance with budget allocations, and ensure the timely completion of financial reports for submission to the Mastercard Foundation in collaboration with the Director(s) and Office of Research and Special Projects Administration.
Manage financial processes related to comprehensive Scholar support, including facilitating tuition payment, processing payments to suppliers and reimbursements, processing stipends and other grant checks, and monitoring student financial accounts.
Analyze and interpret statistical and financial data for decision-making and strategic planning.
Support the Mastercard Foundation teams' hiring processes and personnel matters with the respected Business Operations/HR teams.
Update/refine financial and logistical processes as needed to ensure efficiency and effectiveness and incorporate relevant changes into the Scholars Program handbooks as needed
Keep informed of, interpret, and apply pertinent rules, regulations, policies, and procedures set forth by the university or other governing agency; inform affected staff as changes occur
Participate in the development of long-range strategic planning for Mastercard Foundation grants and coordinate communication of objectives to achieve goals
Event Coordination & Logistics:
Assist with logistics for events such as scholar orientations and training, leadership retreats, and academic workshops.
Collaborate with external vendors, venues, and stakeholders to ensure smooth execution of all program events.
Oversee travel arrangements and accommodation logistics for Scholars and staff as needed.
Program Operations & Administration:
Develop and maintain operational processes that ensure the smooth delivery of program services and activities.
Collaborate with the Mastercard Foundation Scholarship Team to create and implement strategic initiatives for the long-term success of the Scholarship program.
Support cross-functional teams to manage day-to-day operations, including scheduling, communications, and meeting coordination.
Coordinate visa and travel logistics for visiting faculty and Mastercard Foundation Scholars; liaise with International Student and Scholars Center as needed.
Stakeholder Collaboration:
Serve as a key liaison between internal teams, Scholars, and external stakeholders to ensure alignment on program goals and activities.
Collaborate with other departments, such as finance, procurement, and HR, to ensure that program needs are met efficiently.
Minimum Qualifications
Bachelor's degree in a related field and six (6) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Ten (10) years of directly related administrative experience which includes three (3) years of supervisory experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Experience working with Scholarship programs or in the education sector is highly desirable.
- Demonstrated knowledge or lived experience with African universities
- Demonstrated knowledge of the Mastercard Foundation's mission and values.
- Demonstrated knowledge with event management platforms and financial tracking systems.
- Experience in problem-solving skills and a proactive approach to improving operational processes.
Working Environment
- Activities are primarily performed in a regular, climate-controlled office setting subject to extended period of sitting. Visual acuity and manual dexterity associated with daily use of desktop computers, bending, stooping, reaching and lifting up to 20 pounds.
- Ability to work both independently and within a complex structured team.
- Exercises judgment within generally defined practices & policies in selecting methods & techniques for obtaining solutions.
- This position may occasionally require working outside of normal business hours due to events and Scholar needs.
