HRSS Process Quality Manager

Job Description

HR Shared Services is seeking a HRSS Process Quality Manager responsible for the processing and support of all HR life cycle transactions in the Johns Hopkins University and Health Systems’ HRIS. The HR Shared Services Process Quality Manager ensures that the Projects and Reporting Teams effectively manage the client needs of the enterprise in relation to system development, technical support, auditing, mass loads and data requests.


HR/Payroll Shared Services provides enterprise HR and Payroll support to Johns Hopkins entities utilizing SAP EC, Fiori tools, Employment Actions (Mendix), Organizational Management Tool (Mana) Winshuttle, Business Warehouse and Query Manager reporting tools. HR/Payroll Shared Services supports Johns Hopkins University and Johns Hopkins Health Systems with more than 60000 employees, faculty and students, over 50 states and 3 payroll cycles (Semimonthly, Biweekly and Weekly).


Specific Duties & Responsibilities

  • Responsible for directly supervising assigned members of the team, including performance management, goal setting, mentoring, skills development, work assignments and overall resource allocation to ensure that required operational needs are met.
  • Manage the overall structure related to the HRSS Projects Team and the HRSS Reporting Team, including direct supervision of the Supervisors for both teams. May also manage other departmental resources, based on overall staffing.
  • Directs the HRSS project planning process to build understanding and adoption planning. Provides input and guidance from the end-user perspective.
  • Participates in the stakeholder analysis process and impact assessment with HRSS Management team to accurately identify stakeholder groups that are impacted by change and to ensure that change management plans are targeted correctly; utilizes presentations and
  • Ensure that improvements are implemented to HR Shared Services procedures and processing methods to efficiently and accurately meet production and performance goals as established by the HRSS Service Level Agreement.
  • Ensure customer service standards are routinely followed and establish improvements as needed. Determine work priorities and assignments for the most efficient use of staff and equipment.
  • Serve as an SAP HR subject matter expert to HR Shared Services customer base.
  • Provide feedback to team members promptly to increase their effectiveness.
  • Responsible for hiring, training and supporting new HRSS staff on the Project and Reporting teams.
  • Respond timely to new processing requirements from HR centers of expertise.
  • discussions at stakeholder and user meetings, email communication and other channels to gather additional input and inform plans.
  • Direct the efforts of the HRSS Project team through the process of managing organizational change related to technical implementation efforts.
  • Oversee the resource alignment and process change efforts of the HRSS Project team, following project implementation.
  • Direct the process of maintaining system protocols, led by Business Services Analysts, including writing and updating procedures and assisting with training staff and customers as needed.
  • Manage the overall testing process to ensure that support packs and testing initiatives related to the SAP system are managed appropriately across the HRSS Projects team
  • Ensures that internal HRSS resources are utilized appropriately, in relation to projects and business process changes.
  • Collaborates across members of the HRSS team to ensure proactive and viable solutions are identified, to address more complex business issues.
  • Work with other members of the HRSS team to assess the accuracy and integrity of HR master data and ensure that integrity is maintained through auditing and reporting.
  • Manage the timely and accurate auding process, both pre and post payroll runs to ensure that deadlines are appropriately met.
  • Ensure that the team performs testing for system updates, changes and modifications.
  • Collaborates with SAP support, Payroll, Benefits Admin and Compensation to implement and revise reports and audits on both a scheduled and as needed (ad hoc) basis.
  • Ensure that the mass load process (post load audits) is appropriately managed by designated members of the reporting team, in support of critical business processes, including merit increases, Student FICA exemptions, Bonus/supplemental payments, miscellaneous deductions and salary changes.
  • Manages overall accountability and customer service to ensure accurate reporting and fulfillment of data requests for matters including internal audits, external audits, compliance reporting, and ad hoc requests.
  • Work with HR Offices, Payroll Offices, Benefit Offices and all other customers to resolve SAP data integrity or process issues.
  • Assist the HRSS Management team with establishing and improving upon defined HR Shared Service procedures and processing methods to efficiently and accurately meet production and performance goals.
  • Develop a thorough understanding of HRIS functionality including how the HR module interfaces with other modules, other systems within Johns Hopkins and vendors.
  • Be detailed oriented and have the ability to multitask and plan work priorities around payroll processing deadlines. Work with all staff members within HR Shared Services to create and manage effective relationships within the unit and build relationships enterprise-wide to better service customers.
  • Utilize customer service skills to provide timely and accurate response to customer inquires
  • Oversee the timely completion of audit work.
  • Assist the HR Shared Services Management team with monitoring and evaluating HR Shared Services transaction workflow and volume to meet production and performance goals.
  • Identify and implement proactive and viable solutions to business issues with HR Shared Services Management team's help.
  • Create a work environment that maintains confidentiality.
  • Strive to create and maintain a positive team environment among coworkers within the unit.
  • Perform other duties as assigned.


Minimum Qualifications
  • Bachelors in HR, Business or related field.
  • Five years of experience working in a human resource, shared services, call center or customer service environment. At least 2 years of supervisory experience.
  • Additional experience may substitute for experience to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • PHR/SHRM-CP certification.


Technical qualifications or specialized certifications

  • Strongly prefer SAP knowledge or comparable systems.
